An office cleaning plan is easier to manage when it names the rooms, tasks and access arrangements for each visit. This guide focuses on organising a weekly service and checking the agreed work afterward. Adjust the schedule to your workspace, occupancy and requirements.

Make a room-by-room task list

For work areas and meeting rooms, agree on accessible surface dusting, vacuuming or mopping, and waste collection. In kitchens and break rooms, specify counters, sinks and appliance exteriors. For washrooms, include fixtures, mirrors and floors. State who provides and replenishes consumables such as soap or paper products.

Assign responsibilities

Identify which tasks belong to the cleaning team and which remain with staff or building management. Ask employees to secure documents and clear personal items from surfaces that should be cleaned. Define any restricted areas. Computer screens, specialised equipment and delicate finishes need an agreed approach before they are included.

Plan the weekly visit

Choose a time when the cleaners can reach the agreed areas without disrupting office activity. Share entry procedures, parking information, alarm arrangements and an onsite contact. If rooms are booked for meetings, identify an alternative time or note them as unavailable. Tell the team about changes before the appointment.

Separate maintenance and periodic work

A weekly visit can maintain agreed rooms, while detailed carpet cleaning, interior appliance cleaning or window cleaning may need separate arrangements. Record these as additional tasks with an agreed date and estimate. Avoid adding specialised work to a routine checklist without discussing its scope.

Use a clear handover

After the visit, review the task list rather than relying on a general impression. Note rooms that could not be accessed and areas requiring follow-up. Send specific feedback, including photos where useful, to the agreed contact. Update the checklist when the workspace or priorities change.

Request a commercial cleaning estimate
